Privacy notice

How we look after the information you send us through this website.

Who we are

Above & Beyond Care Ltd is a family-run home care provider in Ipswich. We're registered in England and Wales, company number 07744342. Our registered office is Unit 11 Basepoint, 70-72 The Havens, Ransomes Europark, Ipswich, Suffolk, IP3 9SJ.

We're the data controller for the information you give us through this website. That means we decide how it's used and we're responsible for looking after it. We're registered with the Information Commissioner's Office, registration number Z2725406.

If you have any questions about this notice or about your information, please contact Alison Liffen, our Registered Manager, who looks after data protection for us. Her details are at the end of this notice.

What we collect and why

We only collect what you choose to send us through the forms on this website.

Call back and contact forms

When you ask us to call you back or send us a message, we collect your name, phone number and email address, who the care is for, and anything you write in your message. We use this to reply to you and to talk about the care you or your family member might need. We do this because you've asked us to, and because we need to before we can agree to provide care.

Job applications

When you apply to work for us, we collect the details on the application form. This includes your contact details, National Insurance number, emergency contacts, work history and qualifications, the details of your referees, and your answers to the questions about convictions and health.

We use this to consider your application, check that you're suitable for a care role and, if you're successful, set up your employment. Care providers have to carry out certain checks on the people they employ, so some of this is a legal requirement.

References

If you're providing a reference, we collect your name, job title and the reference itself.

We use this information to help us assess the suitability of the person who has applied to work for us. We may contact you to check information in the reference.

Health and criminal record information

Our application form asks about some types of information that receive additional protection under data protection law.

This includes information about your health, such as sickness absence and whether you need any adjustments at work, as well as information about criminal convictions and cautions.

We only collect and use this information where we have a lawful reason to do so and where the additional legal requirements for this type of information are met.

We need some of this information to assess whether someone is suitable and able to carry out a care role safely. We also carry out enhanced DBS checks for relevant care roles.

We have a separate policy explaining how we handle this type of information, and you can ask us for a copy.

How we keep your information safe

Everything sent through the forms on this website is stored in encrypted form. Only a small number of our staff can see it, and they have to sign in with a password and a code from their phone to do so.

Call back requests and contact messages are emailed to our office in full so we can reply quickly. For job applications and references, we're sent an email alert with a short summary, such as your name and contact details, and the full details stay in our secure system rather than in email.

Who we share it with

We don't sell your information and we don't use it for marketing.

We use a few trusted companies to run the website and our email. Our website hosting company stores the website and the information sent through it, and also provides one of our office email accounts. SMTP2GO sends our emails. Google runs the spam check on our forms and our other office email account. These companies can only use your information to provide their service to us.

We may also share your information when we need to or when the law requires it. For example, with the Disclosure and Barring Service for a DBS check, with your referees, with the Care Quality Commission or the local council if there's a safeguarding concern, or with the police.

Some of these companies may store information outside the UK. When they do, it's protected by UK adequacy regulations or by contract terms approved for that purpose.

How long we keep it

We keep enquiries, job applications and references for six months. After that they're deleted automatically. If you come to work for us, your application information becomes part of your staff record. We keep it during your employment and for six years after employment ends.

We may keep some information for longer where we have a good reason to do so, such as dealing with a complaint or legal claim.

Your rights

You have the right to:

ask for a copy of the information we hold about you
ask us to correct anything that's wrong
ask us to delete your information
ask us to limit how we use it, or object to us using it
ask for your information in a format you can take elsewhere, where this applies

Some of these rights don't apply in every situation. For example, there are some records we have to keep by law. If that's the case, we'll explain why. To use any of these rights, please contact us using the details below. We'll reply within one month.

Cookies, maps and spam protection

We don't use cookies to track you or for advertising, and we don't use analytics.

If you change the text size or contrast using the accessibility options, your choice is saved in your own browser so the website remembers it next time. It isn't sent to us.

The map on our Contact page only loads if you choose to show it. It comes from Google Maps, so if you do, Google's privacy policy applies.

To stop spam, our forms use Google reCAPTCHA. It checks that a real person is sending the form, and to do this Google collects some information about your device and how you use the page. Google's privacy policy and terms of service apply.
